Client Code of Conduct & Appointment Policy

At Cole Veterinary Hospital, we are committed to maintaining a welcoming and safe environment for you and your pets. We pledge to treat every client and patient with compassion, kindness, and respect, and to work together toward the shared goal of exceptional veterinary care.

Client Responsibilities

  • Provide accurate and complete information about your pet’s temperament, health, and history.
  • Visit us at least once a year to maintain a valid Veterinary-Client-Patient Relationship (VCPR), as required by law for prescriptions and diets.
  • Treat other clients, pets, and staff members with respect.
  • Arrive on time for your appointments or call ahead if you are running late.
  • Recognize that full payment is due at the time of service.
  • Understand the risks and limits inherent in veterinary medicine.
  • Work with our team to develop and follow agreed-upon treatment plans.
  • Contact the Practice Manager with any issues or concerns.

Behavior Expectations

  • Verbal abuse, profanity, or disrespect toward staff or others.
  • Harassment, discrimination, intimidation, or threats.
  • Allowing your pet to intimidate or threaten another person or pet.
  • Sharing another person’s private information.
  • Being under the influence of alcohol or behavior-altering substances.

Violation of this code may result in immediate termination of services and removal from the property. Law enforcement may be involved if necessary.

Appointment, Reschedule & No-Show Guidelines

We understand emergencies happen, but consistent attendance is crucial to providing quality care. Depending on frequency of rescheduling and no shows we may ask you to pay a $50 booking fee to reschedule or set up a future appointment. If the frequency of the reschedules and no show are excessive, we may terminate you as a client. If you have any questions, please let us know.
